- Information you provide in enquiry, booking or contact forms (e.g. schools, care homes, families, funders and partners);
- Participant details for activity sessions – for example, age/school year, mobility or access needs, or other information needed to keep people safe and included;
- Volunteer or job applicant information (CVs, experience, availability);
- Feedback, testimonials, images or media you choose to share with us;
- Technical data, such as IP address, browser type, device information, and cookies, is collected when you use our website.
3. How and why we use your information (lawful bases)
We only use your personal data when we have a lawful basis to do so. We may use it to:
- Deliver services you’ve asked for – for example, to respond to your enquiry, book a session, or run an activity at your care home, school or community venue (contract);
- Manage and improve our programmes – to plan sessions, monitor attendance and report impact to stakeholders (legitimate interests);
- Send you updates or marketing – but only if you have opted in, and you can withdraw this at any time (consent);
- Record health or access needs where this is necessary to make the session safe or inclusive – we will do this with your explicit consent or, where appropriate, because it is in the vital interests of the participant (explicit consent / vital interests);
- Comply with the law – for example, for safeguarding, audit or financial record-keeping (legal obligation).
We do not sell or rent your personal data to third parties.
4. Special category data
Because our work involves older adults, people with disabilities, and children, we may occasionally collect information about their health, mobility, disability, or support needs. We will only collect what is necessary, keep it secure, and limit access to staff who need to know it to ensure the session is delivered safely.
5. Who we share your information with
We may share limited personal data with:
- Partner venues and organisations (e.g. care homes, schools, community centres) where we are delivering a session you have booked;
- Service providers who support our website, email, booking or data systems (they act on our instructions and must keep your data safe);
- Funders and programme partners where we are required to evidence delivery or impact – wherever possible, we will report this in anonymised or aggregated form;
- Regulatory or safeguarding bodies where we are legally required to do so.
We do not allow our service providers to use your personal data for their own purposes.
6. International transfers
We aim to store and process personal data in the UK or the European Economic Area (EEA). Suppose it becomes necessary to transfer data outside the UK/EEA (for example, because a cloud service is hosted overseas). In that case, we will ensure that appropriate safeguards are in place, such as UK-approved Standard Contractual Clauses.
7. How long do we keep your data
We will keep your personal data only for as long as is reasonably necessary for the purposes for which it was collected, including to meet legal, accounting, or reporting requirements. As a guide:
- General enquiries: up to 12 months;
- Programme/session records and monitoring for funded projects: usually up to 6 years after the end of the project (in line with funder/audit requirements);
- Volunteer and safeguarding records: as required by law or good practice.
8. Your rights
Under UK data protection law, you have the right to:
- Request access to the personal data we hold about you;
- Please ask us to correct any inaccurate or incomplete data.
- Request that we delete your data under specific circumstances.
- Ask us to restrict or object to our processing of your data.
- Withdraw your consent where we rely on consent (this will not affect processing carried out before you withdrew it).
- Request a copy of your data in a portable format.

9. Children’s data
We deliver activities for children and young people. Where we collect personal data about a child, we will usually do so through their parent, carer or school/setting. We will only collect the minimum information necessary to run the activity safely, and we will not use children’s data for unrelated marketing purposes.
